Job Description Summary:

Under the direction of the Senior Office Manager, the Workplace Operations Assistant Manager is a highly visible position that leads and actively participates in the execution of the day-to-day processes and procedures of the Workplace Operations team. Their primary objective is to build and manage teams that produce the highest quality work, ensure that our colleagues experience no impediments to their day-to-day productivity and to also ensure that both internal and external clients experience best-in-class customer service and high-quality output.

Job Description:

People Management & Team Leadership

  • Hire, train, mentor, and develop Workplace Operations team members.
  • Provide written performance assessments and lead performance reviews.
  • Identify knowledge gaps within team and develop strategies to address them.
  • Effectively manage the time and output of the Print Production, Mail and Facilities teams by prioritizing and assigning tasks to ensure quality and timeliness.
  • Ensures adequate coverage levels for the department.
  • Oversee completion of routine audits and reviews by Workplace Operations team.
  • Collaborate with the Office Head to align priorities and support overall office objectives.

Office & Facilities Management

  • Oversee the operability, tracking, and reporting of production, mail and facilities equipment, including large multifunction printing devices.
  • Manage office supplies inventory (kitchen, production, etc.), including ordering, stocking, and distributing supplies as needed.
  • Ensure the office environment is clean, organized, and well-maintained; monitor for interruptions and anticipate office needs with proactive solutions.
  • Liaise with building engineering teams and coordinate to address workplace and facility’s needs.
  • Serve as a primary on-site point of contact for vendors and sub-contractors.
  • Coordinate with building engineers to resolve operability and maintenance issues in common areas.
  • Ensure the appearance of all spaces (hallway, conference rooms, team and meeting rooms, distribution center, kitchen and supply stations) reflects excellent housekeeping and CA professional standards.
  • Oversee small to midsize projects for new amenities, services, or vendors as needed.
  • Manage department activities and projects within established budget, monitor expenditure and ensure cost-effective operations.
  • Provide backup support to core Facilities and Printing and Distribution functions, as required.

Employee & Visitor Support

  • Coordinate and support Workplace Operations new hire welcome procedures – including a comprehensive office tour, HC and IT requirements, and an overall welcoming approach.
  • Support reception processes including greeting and providing general support to visitors. When needed, act as a point of contact for internal and external clients, ensuring a professional and welcoming environment.

Security and Access Management

  • Issue and revoke access badges; enable and disable badge access in accordance with security guidelines.
  • Ensure shred bins are always locked and picked up according to shredding schedule.

Event Coordination

  • Assist in organizing company events, meetings, and conferences, including venue selection, catering, and logistics.
  • Coordinate with vendors and service providers to ensure successful execution of events.

Technology and Systems

  • Maintain and troubleshoot office equipment, including computers, printers, and telecommunication systems in coordination with remote IT support.
  • Lead the implementation and maintenance of office software and systems, providing support as needed.

Process Ownership & Continuous Improvement

  • Make thorough and informed decisions to ensure optimal workplace operations.
  • Take ownership of office processes, identifying areas for improvement and implementing changes to enhance efficiency and productivity.
  • Develop and document standard operating procedures (SOPs) for various workplace tasks and ensure adherence.
  • Update and maintain Workplace Operations CA Home page.

Compliance and Confidentiality

  • Ensure compliance with CA policies and procedures, including health and safety regulations.
  • Handle sensitive information with the utmost confidentiality and discretion.

Qualifications

  • Associate degree preferred and/or 2-4 years related work experience.
  • Two or three years of supervisory experience (any field).
  • Proficiency with Adobe Acrobat and Microsoft Office Suite, especially Word and Outlook.
  • Availability to work overtime with little or no notice.
  • Ability to stand for long periods of time; ability to lift 30 pounds (Facilities Maintenance and Production & Mail only).
  • Excellent organizational and time management skills, with the ability to balance competing interest and needs, prioritize tasks, and meet deadlines.
  • Ability to learn quickly and adapt to new challenges; ability to work well under pressure.
  • Strong written and verbal communication skills, with a professional and courteous demeanor.
  • Attention to detail and problem-solving skills, with a proactive approach to identifying and addressing issues.
  • Discretion with highly confidential and sensitive information.

Base salary range for this role:

Pay Range Minimum:

81200

Pay Range Maximum:

105600

In addition to the listed salary range, this position is eligible for an annual performance-based bonus and a comprehensive, competitive benefits package. Actual placement within the stated salary range will be determined based on factors such as skills, experience, and qualifications, as well as internal equity.
