Our team:
The Company Secretariat function leads the corporate governance agenda across M&G. The team deliver a professional service to the Board of M&G plc, its Committees, the boards of M&G’s subsidiary companies (the “Group”), Executive Management, and other key internal and external stakeholders.
The function provides both operational day-to-day guidance and leads the implementation of corporate governance requirements to ensure compliance with relevant legislation, regulatory requirements, and the requirements applicable to M&G plc as a listed company.
Collaborating with colleagues in the business units, Asset Management, and Insurance, as well as colleagues in Compliance, Corporate Affairs, Finance, HR, Legal, Risk, Strategy & Transformation, the Secretariat function ensures good standards of corporate governance operate across the Group and that local laws and statutory filing requirements are met.
The Company Secretariat function is led by the Group General Counsel & Company Secretary, who reports to the Group Chief Executive Officer and is a member of the Group Executive Committee.
The role:
To provide personal assistant support to the Director of Secretariat, with the expectation for two to three days per week in the office (on full time basis).
Key accountabilities:
- Inbox management, helping to prioritise, and day-to-day support on workflow.
- To co-ordinate and manage the Director of Secretariat's diary, including meetings, travel, ad hoc administration, and expenses.
- Planning and providing supporting documentation for meetings/events.
- Active involvement in company meetings as required – including minute taking, issuing and follow up of actions.
- To work proactively, anticipating and preventing possible problems.
- Working on highly confidential correspondence.
- Organise events in conjunction with the events team.
- To work collaboratively with colleagues and take personal accountability to maintain and enhance controls to support improvement of the overall control environment, customers outcomes and a reduction in M&G plc’s operational risk.
Key Knowledge, Skills, and Experience
- Experience of working as a PA, including experience of operating in a large, complex firm. (Essential)
- Experience of working in a regulated Financial Services business would be preferrable but not essential.
- First class interpersonal, organisational and communication skills both written and verbal.
- Excellent attention to detail and good command of English grammar is required.
- Experience of working under pressure, using own initiative and with minimal supervision.
- Experience of communicating effectively with a range of external stakeholders and internal stakeholders at all levels up to and including Board level.
- Confident user of relevant IT software including Word, Excel, PowerPoint, Teams, and Outlook.
- The ability to work at pace to tight deadlines, using own initiative and with minimal supervision.
- Self-motivated, and resilient PA who is diplomatic but persuasive with excellent interpersonal skills.
- Ability to anticipate problems and maintain a balanced perspective.
- Ability to work autonomously and collaboratively.
- The role will require a very high degree of confidentiality, and discretion.
