An excellent opportunity has arisen to lead the formation of a new multi functional operations department executing a number of core operations functions across Custody. The role will provide an exciting journey for a dynamic and passionate professional whilst providing the ability to collaborate closely with Global colleagues to successfully onboard, support and develop teams carrying out new Global functions.

As a Operations VP in Global Delivery, you will be responsible for the operational management and support of current and future-state processes within Global Delivery Operations.

Management and Team working Responsibilities

  • Ensure effective Management of daily operations across all functions
  • Ensure all staff have clear lines of reporting, authority levels, objectives and progress is reviewed regularly in line with Company policy.
  • Develop effective working relationships and communications with staff and ensure that staff are motivated, continuously developed and supported.
  • Work within Global Delivery in creating and implementing the strategic direction of the functions within defined budgetary parameters.
  • Ensure regular meetings are held with team managers
  • Partner across wider global team and technology to identify and drive product and technology enhancement opportunities
  • Provide management support to ensure the teams complete their workload in a timely and accurate manner.
  • Determine resource allocation requirements to ensure even distribution of workload.
  • Effectively manage team performance ensuring that staff have performance priorities/SMART goals that are reviewed and tracked throughout the year.
  • Participate in division wide working groups, tasks forces and projects as assigned.
  • Provide Subject matter expertise support where required and assist in the management of Global Delivery related Projects with senior management/stakeholders

Operational Risk and Control Responsibilities

  • Establish and monitor systems of control, limits of delegation and escalation procedures so that the business complies with internal policies and external regulations and can be managed effectively
  • Ensure that all procedures are regularly reviewed and kept up to date
  • Ensure any procedure gaps are addressed through the implementation of appropriate procedures and controls. Communicate any new or updated procedures to all team members in a timely manner
  • Identify, recommend and implement process improvements in order to improve efficiency through the removal of redundant or non-value added tasks.
  • Participate in audit reviews as required
  • Establish and oversee the development of a risk culture within the business and ensure business line accountability for risk management and measurement.
  • Support a culture of effective challenge to ensure appropriate governance

Client Service Responsibilities

  • Ensure that all inquiries received from clients are well managed, monitored, and tracked appropriately until completion.
  • Responsible for client deliverables and service enhancements. Understand client needs and suggest improved service model.
  • Responsible for customer’s escalation with dealing with team members and operation teams and provide solution.
  • Co-work with global operation teams and create frameworks to provide enhanced services to Japanese and global clients. Create strong relationship with operation teams outside Japan.
  • Ensure that appropriate management information is produced and reviewed at appropriate intervals
  • Work collaboratively with the Chief Commercial Office’s Client Service teams to deliver an excellent client experience.

Key Knowledge/Qualifications/Experience

  • An understanding of the financial services industry is required with 5 plus years prior experience in a leadership role
  • Proven experience in operations and people management
  • Educated to a degree level preferred
  • Ability to manage and prioritize numerous tasks concurrently
  • Strong business sense and awareness of the key issues/risks within operational environment
  • Excellent English /Japanese written and verbal communication skills with the ability to communicate effectively to all parties and levels. (Business Japanese skill preferred)
  • Successful performance in managing risk and problem solving demonstrating analytical thinking and decision making capabilities
