Who we are looking for

a VP to join our Alternatives team in Luxembourg. This managerial position is within the Private Markets Business Unit of the State Street Alternative Investment Solutions Group in Luxembourg. The position interacts with all levels of professionals both internally and externally therefore, exceptional interpersonal and communication skills are required. Candidates must demonstrate initiative, be able to perform well under pressure and simultaneously handle multiple assignments. The position is responsible for maintaining direct client relationships and managing the administration for multiple client sponsored investment funds in the Luxembourg market.

  • The team you will be joining is a part of the Private Markets Business Unit within the State Street Alternative Investment Solutions Group. This function is vital to the company as it ensures the seamless administration and oversight of complex investment fund structures for our clients in the Luxembourg market. By maintaining robust client relationships, delivering accurate and timely fund accounting services, and driving operational excellence, this role directly supports our commitment to client satisfaction, regulatory compliance, and the continued growth of our alternatives business. Your leadership will help uphold our reputation for reliability and innovation in a dynamic and evolving financial landscape

What you will be responsible for

  • Manage priorities and internal workflows to ensure client deadlines are met. Oversee the production of the Fund Accounting team’s deliverables (NAV, Managed accounts, budgets etc.) both with clients and internally

  • Manage the onboarding of new fund structures and work with different departments and the client to ensure operational readiness of the services elected for each entity

  • Contribute to positive collaborative working culture within the fund administration team, promoting our values

  • Interact and collaborate with other team leads to ensure coordination of deliverables and achieving of company goals

Implementation & oversight of a robust control environment:

  • Maintain trackers & MIS reporting for Onboarding and client Fund Accounting deliverables.

  • Ensure accuracy of our Fund Accounting deliverables

  • Coordinate and manage client change requests as required

  • Participate in (and report to) the local Management, Onboarding & Risk Committees, as required

  • Implement operational process improvement changes within the department

  • Ensure compliance to local regulations

  • Provide KRI reporting to management and the first line of defense

  • Attend Service Review Meetings with internal subdelegates and ensure outsourcing documentation is maintained and up to date.

Maintain relationships with clients for administrative and administration matters:

  • Maintain working relationship with client contacts, including investment professionals, investors, auditors, lawyers and banking personnel

  • Manage client expectations with both client contacts and fund investors, as necessary

  • Coordinate discussion and documentation of portfolio investment valuations or capital financing structures with clients, as necessary

  • Review and/or prepare various client related correspondence

  • Prepare Senior review meeting packs and host client meetings as necessary

Provide technical support:

  • Review and develop understanding of investment fund legal documents

  • Review and drive the accounting setup for the funds you service ensuring stability of the operating model.

  • Promote new solutions to reduce risks and gain productivity

  • Participate in special client or internal projects as required, coordinating change activities with Subject Matter expert while liaising with the client

  • Deep understanding of fund administration, regulatory requirements, and the Luxembourg financial services environment

Education & Preferred Qualifications

  • University degree in Accounting, Business Administration, Mathematics, Finance, Economics or similar.

  • 12+ years of experience in Fund administration, including 3 to 4 years of managerial experience

  • Professional accounting qualification is a plus, but not required

  • Experience in the private equity or real estate industry and financial reporting experience or relevant related experience

  • Familiarity with the Luxembourg regulatory environment is highly desirable (including an understanding of the various filing requirements for different entity types and associated deadlines)

  • Sound computer skills are required, especially Microsoft Office, particularly MS Excel.
