Purpose of Role:
Reporting to the HR Operations Manager, the HR Operations Specialist will support day‑to‑day HR activities, ensuring compliance with Polish statutory requirements, accurate processing of employee data, documentation management, and high‑quality employee support.
Major Responsibilities
Administer employee personnel files and HR databases, ensuring timely and accurate documentation in line with Polish Labor Law and internal procedures.
Handle general office tasks such as collecting and processing incoming post, photocopying, packing, data entry, and mailing documents.
Respond to employee inquiries related to HR administration processes.
Maintain and update HR databases and systems (Excel, Enova, MyWorkday, Exchange, etc.).
Prepare and distribute standard and ad hoc HR reports according to guidelines.
Ensure smooth and timely flow of critical information to relevant parties and vendors.
Provide HR administrative support across departments and divisions.
Maintain strict confidentiality and comply with global and local data privacy requirements within GHR Shared Services.
What we value
To succeed in this role, you should bring:
Polish proficiency at B2 level (spoken and written) and very good English.
2+ years of experience in Polish HR administration.
Willingness to work in a hybrid model, with a strong on‑site presence in Gdańsk.
Knowledge of Polish HR operations (parental and annual leaves, terminations, employee lifecycle documentation, HR systems).
Professional handling of confidential information and strong interpersonal skills.
Good understanding of the Polish Labor Code.
Solid MS Excel skills (e.g., pivot tables, v-look up).
Strong clients focus and teamwork approach.
High attention to detail, accuracy, and the ability to work under pressure.
A flexible, proactive “can‑do” attitude.
HR‑related education is an advantage.

Minimum Salary:
zł68,004 AnnualThe minimum salary quoted above applies to the role in the primary location specified. If the candidate ultimately works outside of this primary location, the applicable minimum salary may differ.
Salary will be determined based on factors such as the position, type of work performed, individual skills, job description, working hours, diligence, initiative, self-management, length of employment, availability, and the quantity and quality of work delivered, as well as other objective and non-discriminatory criteria relevant to State Street employees.
In addition to salary, employees are eligible to be considered for discretionary annual performance-based awards.
