Role Overview
The Fund Expense Oversight Officer is responsible for the day‑to‑day oversight, monitoring, and control of fund‑level expenses across SSIM investment products. The role ensures that fund expenses are accrued, paid, and reported accurately and in compliance with prospectuses, contractual fee schedules, regulatory requirements, and internal governance standards.
The Officer operates within the Fund Expense Oversight Center of Excellence (COE) and works closely with fund accounting, operations, vendors, compliance, and senior oversight teams across EMEA and North America. The funds under oversight include UCITS, SICAVs, mutual funds, ETFs, commingled funds, and other structures across multiple domiciles and regulatory regimes.
Key Responsibilities
- Review and validate fund expense accruals to ensure accuracy, completeness, and timely processing
- Review and approve invoices and payments in line with contractual fee schedules and agreements
- Maintain accurate, complete, and up‑to‑date fund expense records
- Review and support the production of Total Expense Ratio (TER) and other expense‑related reporting
- Validate expense calculations against prospectus limits, fund rules, and regulatory disclosures
- Support monthly, quarterly, and ad‑hoc expense reporting for internal stakeholders
- Liaise with fund accountants, custodians, administrators, and third‑party service providers
- Provide clear guidance to service providers and internal partners on expense‑related matters
Required Skills & Competencies
- Strong attention to detail with a highly analytical mindset
- Solid understanding of fund expenses, accruals, and fee structures
- Ability to interpret prospectuses, fee schedules, and contractual agreements
- Strong organizational skills with the ability to meet tight deadlines
- Effective communication skills when working with operations teams and external service providers
- Strong risk and control awareness with an audit‑ready approach
- this role requires office presence (3/4 days) on a weekly basis
Education & Experience
- Bachelor’s degree in Finance, Accounting, Business, or a related field
- Minimum 4 years’ experience in fund accounting, fund administration, or fund expense oversight
- Experience with SSIM mutual fund and ETF expense structures is a strong advantage
- Advanced Excel skills required; experience with expense or accounting systems preferred
- Fluent in English (written and verbal)
Minimum Salary:
zł132 000 AnnualThe minimum salary quoted above applies to the role in the primary location specified. If the candidate ultimately works outside of this primary location, the applicable minimum salary may differ.
Salary will be determined based on factors such as the position, type of work performed, individual skills, job description, working hours, diligence, initiative, self-management, length of employment, availability, and the quantity and quality of work delivered, as well as other objective and non-discriminatory criteria relevant to State Street employees.
In addition to salary, employees are eligible to be considered for discretionary annual performance-based awards.
