Role Summary
Provides high-level administrative support to assigned executives and/or senior leaders by managing information requests, conducting research as needed, and performing clerical and operational tasks. Acts as an information and communication manager for the office, balancing complex calendar and meeting management, project coordination, technical problem-solving, and administrative execution based on evolving business needs. Exercises confidentiality, tact, and diplomacy at all times; anticipates leader needs; and partners with other assistants to ensure seamless support and coverage.
Responsibilities:
Provide support to assigned executives during peak periods, absences, or transitional phases, including complex calendar and meeting management, communications, and planning. Screen calls and visitors, resolve routine and moderately complex inquiries, and exercise discretion and confidentiality.
Conduct moderately complex administrative assignments related to meetings, seminars, workshops, and conferences, including material production and packet compilation, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors. Coordinate executive meetings (room reservations, catering, security notifications), prepare agendas and materials, record minutes, and track/manage attendance responses.
Manage and monitor the shared mailbox for KM5 business partners, triaging, and coordinating all requests requiring administrative assistance. Prioritize tasks in alignment with business needs and timelines; gather key details, route requests to the appropriate owner, track status through completion, and ensure timely responses and follow-through.
Review and analyze mail and incoming memos and communications; draft, edit, proofread, and format documents, letters, emails, presentations, and reports to determine significance and plan distribution. Conduct basic research as needed and compile, analyze, and summarize information for reports and correspondence.
Book travel, manage itineraries, and process expense reimbursements; apply and interpret corporate policies related to travel and expenses (T&E). Provide support on ad hoc assignments and specialized administrative projects, including assisting with special projects across multiple teams and workstream participation.
Qualifications Required:
High school diploma or GED required
5+ years of experience supporting C-suite executives required
Skills:
Excellent verbal, written, and interpersonal communication skills; exceptional customer service; strong organizational and time management skills
Strong ability to anticipate needs, take initiative, and build trust with executives, team members, and business partners while upholding service standards for operational excellence
Strong analytical, critical thinking, and problem-solving skills with high attention to detail and quality control; ability to identify errors, inconsistencies, and gaps in complex or messy data
High proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, SharePoint) and collaboration tools (Teams/Zoom) and Adobe; experience with digital workflow tools (e.g., Planner, Forms, Power Automate, Power BI) preferred
