Each Executive Assistant improves the effectiveness of the professionals they support as well as the firm overall through utilizing judgment, discretion, initiative, independent problem-solving, organizational skill, and communicating ability.
Principal Responsibilities
- General administrative duties including heavy calendaring and phones, confidential and sensitive document preparation, travel arrangements and expense reimbursement management.
- Meeting planning, preparation, oversight, and logistics execution.
- Assist with special projects as necessary.
- Develop strong understanding of team goals and align work to support those goals in collaboration with colleagues.
- Balance multiple priorities, adjust as needed, and achieve desired outcomes.
- Foresee, research, and address potential issues, and new needs as they arise.
- Listen to the needs of others, respond and adapt, and build relationships of trust across diverse teams.
Requirements
- Minimum of 10 years of relevant administrative experience required (financial services industry preferred).
- Mastery of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.) and SAP Concur.
- Clear, concise, accurate, communication skills.
- Demonstrated integrity and discretion.
- High attention to detail, with the ability to multi-task and be resourceful in a fast-paced environment with a sense of urgency, accuracy and professionalism.
- Flexible to troubleshoot and handle matters after business hours as necessary.
- Exceptional organizational and time management skills; ability to set and achieve priorities while working with multiple team members, several moving pieces at a time, and frequent status changes.
- Partnering, rapport-building, and relationship management skills.
- Ability to balance teamwork with self-direction and drive to solve practical problems and deliver results.
- Initiative to seek learning opportunities and take on new tasks/responsibilities as assigned.
- A team player with a positive attitude and the ability to work independently.
