Your role
We are seeking a detail-oriented and deadline-driven professional to perform and provide 2nd level support and oversight related to processing of non-resident alien clients documents, including IRS Forms W-8 BEN and client withholding statements. This role is critical in ensuring timely and accurate IRS reporting and withholding and effective communication with client and relationship managers.
Key Responsibilities:
Review IRS Forms W-8 BEN, W-8 BEN-E, certificates of foreign status, passports and supplementary information forms to ensure compliance with Internal Revenue Service (IRS) and FATCA
Review clients withholding statements and ensure necessary documents (e.g., IRS Forms W-9/W-8) are on file, and that provided information matches UBS’ client records.
Enter client allocation statement date into Masterfiles with precision and adherence to SLA timelines.
Review invalidation reports to investigate illogical data. For example, regarding NRA and FATCA clients with indication of U.S. residence in UBS’ client profile and or client account records.
Scan and archive allocation documents into Smartdoc for audit and reference purposes.
Notify client and relationship managers upon completion of updates to ensure transparency and alignment.
Validate and ensure accurate percentage allocations to client beneficiaries, minimizing discrepancies.
Maintain compliance with SLA tiers:
Tier 1: Complete processing within 1 business day of receipt.
Tier 2: Complete processing within 2 business days of receipt.
Maintain a high standard of data accuracy, with an error rate not exceeding 3% of total volume.
Provide daily and monthly metrics of documents reviewed, accepted and rejected

3-5 years’ experience in financial services, tax operations, or new accounts processing preferred but not required.
Strong attention to detail and commitment to data accuracy.
Familiarity with systems such as Masterfiles and Smartdoc is a plus.
Excellent communication skills for liaising with internal stakeholders.
Ability to manage multiple priorities under tight deadlines.
