About the role

In your role as Team Assistant - ISA, you will make a meaningful and valued contribution from the outset. This role will provide a great opportunity to provide administrative support to the Investment Strategy & Advice (ISA) Team

What you will be doing

As a trusted part of the ISA – Investment Strategy & Advice team you will be responsible for:

  • Providing secretarial services including extensive diary management
  • Scheduling internal and external meetings, ensuring all room bookings, IT equipment, lunch and other business requirements are in place as required
  • Collating and formatting of reports, presentations and letters
  • Co-ordination of regular meetings. Arranging meeting logistics, sourcing updates from other areas of the business when appropriate, collating papers in advance of the meetings, taking minutes to ensure action points and deliverables are met prior to the next meeting.
  • Support team’s project management efforts to ensure deadlines and key milestones of strategic projects are tracked
  • Co-ordinating conference calls and video conferences with both internal and external parties
  • Arranging national and international travel, visas and accommodation, including the preparation of itineraries and travel packs
  • Processing and reconciliation of expenses/invoices/purchase orders etc in a timely fashion
  • Organising team building and offsite events as appropriate
  • Ad hoc administrative duties including printing/binding/scanning/photocopying, archiving, arranging couriers

About you

To be successful in the role you will have:

  • Strong administrative experience (ideally in Financial Services)
  • Highly organised with a systematic approach
  • Self-starter, enthusiastic, able to use initiative and put forward ideas
  • Ability to prioritise tasks, meet tight deadlines, cope under pressure, multitask, flexible
  • Good verbal and written communication skills
  • Team player but equally comfortable working alone
  • Can reliably deal with confidential and sensitive information
  • Strong MS Office skills including Outlook, Word, Excel, PowerPoint and SharePoint
  • Diary management experience
